Booking Conditions
By placing a reservation with the Italian Agency, the agents agree to and accept these Rental Terms which constitute a contract with the Italian Agency and govern the reservation of all accommodations. Agents and Customer agree that Italian Agency is not responsible for any physical injuries caused to the customers during their stay at the property and to hold harmless and indemnify The Italian Agency and its Representatives from any such direct or indirect losses, including but not limited to consequential or incidental damages, expenses, claims, attorney's fees, or personal injury. The property owner does not accept any liability for any injury, loss, damage, or additional expenses incurred by the client or any member of the client's party regardless of the cause. The property owner does not accept liability for any injury, death, loss, inconvenience or damage, alteration, delay or cancellation of the booking as a result of war, threat of war, riot or civil strife, terrorist activity (threatened or actual), natural disaster, fire, sickness, weather conditions, action at an airport or port by any government or public authority, technical problems relating to transport and airport regulations caused by technical, mechanical or electrical breakdowns or with the client's accommodation or other circumstances as amounting to "force majeure" or Acts of God or other similar events beyond the property owner's control.
CANCELLATION FEES
- 10%of the total amount from reservation to 150 days before arrival.
- 50% of the total amount from 149 to 60 days before arrival.
- 100 % of the total amount from 59 to the day of the arrival.
1- BOOKING
It is your responsibility before you book the property to inform us of the number of people, health conditions (allergies, asthma, hearth conditions, walking problems) or any other special requirement relevant to accommodation selection. The properties the Italian Agency offers are not official tourist structures or hotels. The properties we offer are private houses owned by individuals. Being such, they reflect, in their architecture and furnishings, the local traditions and the personal taste and need of the owner. Therefore not all the properties can be suitable to elderly people, pregnant woman, handicapped people, children, people with height or weight over the average. The Italian Agency will not accept any complains, if any of these conditions has not been mentioned upon booking.
2- ARRIVAL AND DEPARTURE
Unless otherwise indicated in the description of the property, arrival/departure must take place on Saturday at the following hours: Arrival between 4.00 pm and 7.00 pm Departure between 8.00 am and 10.00 am The estimated arrival time must be advised at the time of booking or subsequently thereof, so that the owner or his/her representative can meet the guest on the spot. Delays In the event that the owner or his/her representative are not available and it is not possible to advise the owner or his/her representative of a late arrival, in the event that the late arrival was not previously advised or arranged or in the event that the owner cannot accept a late arrival, the guest alone is responsible for the cost of the overnight stay in a hotel. The owner or his/her representative who is then obliged to make an unplanned displacement to the property is entitled to claim from the guest the reimbursement of his/her expenses. Sundays and late night arrivals are usually not possible. Prearranged late arrival - Upon request and approval of the owner a late arrival is possible between 7.00 pm and 9.00 pm for an extra fee of 50 Euro. In this case the arrival time has to be prearranged.
3- UPON ARRIVAL
On arrival the guest must present his rental voucher as well as his passport or identity card to the owner or his/her representative to enable them to proceed with their registration in accordance with Italy legal requirements.
4- SECURITY DEPOSIT
Any damage deposit will be collected in advance and refunded at departure less any damage fees. This deposit is independent from any other deposit. The security deposit can be paid as follows:
- 100% cash in euro currency at arrival (this Standard Condition will be always applied if no other condition is specifically mentioned in the note at the moment of the booking)
- 100% cash in US Dollars currency
- 30% in euro currency to the owner/caretaker at arrival plus 70% kept by the agent (in this case the agent is responsible of the amount he is keeping. Any damage will be reported within 2 weeks from the departure of the customer)
IMPORTANT conditions # 2 and 3: Please remind to mention in the note, at the moment of the booking, the condition you choose otherwise the owner/keyholder will apply the standard condition (#1) UTILITIES DEPOSIT Additional deposits and payments can be collected at the property as follows:
- The utility deposit and any final cleaning fee will be paid only in cash and in euro currency at arrival to the key holder. On departure from the property, any unused portion of the utility deposit will be refunded in cash.
- Any fees for special services (extra maid service, laundry service, cooking service) will be paid when the service is rendered.
- An advance deposit could be requested for the services.
THE OWNER OR HIS/HER REPRESENTATIVE CAN REFUSE ACCESS TO THE PROPERTY IF THE SECURITY DEPOSIT IS NOT HANDED OVER. The guest is nonetheless responsible for any losses or damages caused to the property or its contents during the holiday. It is the client's responsibility to obtain an accounting of the deposit and collect the unused portion. The Italian Agency is not responsible for the return of client�s security deposit following a rental. Should the guest decide to leave the property prematurely, without previous agreement with the owner and therefore a check out will be not possible, the owner or his/her representative is authorised to refund the deposit to the guest by post (less any deductions for damages or any additional expenses) and only after having checked the inventory and the property in question. The Italian Agency declines all responsibility in the event of a dispute between the guest and the owner regarding the deposit. The security deposit will be refunded only to the person that paid it at arrival.
5- BEHAVIOUR
The person signing the booking form is responsible for the correct and decent behaviour of his/her party. Should the person and his/her party behave in such a manner that is not acceptable by civilized standards or should represents a risk for the property itself, the key holder may ask the person and his/her party to vacate the house without compensation. In case of destructive behaviour the key holder or the owner can evict the costumers by locking them out.
6- NUMBER OF PERSONS/SUBSTITUTIONS - PET
Only those persons whose name appears on the Booking Form and whose presence has been registered with the authorities may use the property. The number of persons (adults and children) must not exceed the number of sleeping places indicated. The substitution of persons during the rental period is forbidden unless previously stated and agreed with the owner; in this case they have to be registered with the authorities. Pets will be admitted only in those properties where it is expressly specified (only well behaved dogs, no cats or any other animal are admitted ) please see the special form requested.
7- CLEANING
The Final Cleaning fee does not include excessive cleaning, the cleaning of the kitchen corner/the kitchen/the kitchenette and the removal of rubbish which are the guest's responsibility. If this has not been done, the owner or his/her representative is obliged to charge an additional expense to the amount due. If no cleaning cost is foreseen, the guest must leave the property clean and tidy. If the property is not handed back in the above-mentioned condition, the guest must pay the owner or his/her representative on the spot the amount necessary for cleaning the property. The owner or his/her representative reserve the right to have free access to the property for essential maintenance purposes (garden, swimming-pool etc...)
8- SERVICES
At many properties special services are available and they are all listed below the prices. They can be arranged filling the special form we will provide you. We need to receive the "service form" 60 days before the arrival. Pre-arranged extra service can be subject to advanced deposit. Once requests have been made a decrease in the number of hours (ex. baby sitter, maid etc.) or participants (ex. dinners) cannot be processed. Cancellation of services requires a minimum notice of 60 days prior to the rental date and it is subject to charge. Cancellation within 60 days are not accepted. These services are not guaranteed and are subject to change. The Italian Agency makes no representation as to the level or quality of the service, food ingredients or preparation. The employment of outside third party service providers is subject to the owners approval.
Guest Responsibility Agreement
Dear Guest,
1- Please note that the property is in constant use by tenants and family members. We ask you to leave the house, its furnishings and equipment in the same good condition that you found upon your arrival. Kindly advise the caretaker as soon as possible of any breakage so that repair or replacement can be made before the next guests arrive. Should you be responsible for theft or damage, it is expected that you bear responsibility for these costs, even if the cost exceeds the total amount of the security deposit.
2- The entire property should be left clean at the end of the rental period. We ask you to wash and put away all kitchen utensils before your departure. A fee of 100 Euro to 150 Euro for large villas and 50 Euro to 80 Euro for smaller units in addition to the customary final cleaning fee may be charged. Additional charges may be assessed for cleaning of upholstery, shampooing of the rugs, breakage, soiling or damage to the interior or exterior of house.
3- The maximum number of people that can be accommodated in the house is _______ For security and insurance reasons, this number can not be exceeded.
4- We welcome children and ask that they be closely supervised in the house and in the garden or yard. Please ask if there is a specific area outside where the children can play without doing damage. If the lawn or garden is damaged, the necessary gardening services to repair it are very expensive.
5- We ask that you not move any beds, tables or other large piece of furniture as you are renting the property as the description was confirmed to you at the time of booking. Often times the owners use certain drawers and cupboards for their own storage. These are locked and we ask that you respect this.
6- Please ask the owner where to dispose of the daily trash. The public trash and recycling receptacles are usually very close to the property and trash removal is the responsibility of the guest. We ask that you do not leave it in the property and please remember to remove all the trash and bottles from the house before your departure. The housekeeper does not collect your trash or garbage and there will be a charge of 100 Euro if the trash is not disposed of properly.
7- Please do not to put anything other than toilet paper in the toilets.
8- We ask you to close all the windows /security gates and doors before leaving the house (even if you will be gone for a short walk) because as renter, you are responsible for the furnishings, carpets and valuables inside the house. The owner�s insurance does not cover a house that is left unlocked.
9- Please let us know if you will need to leave before the appointed departure time. If you leave the property without being properly checked out, your full security or utility deposit will be retained. This amount, less any applicable claims and/or unpaid utilities will be returned to you after your departure and after the house is inspected by the owner. Judgment as to the condition of the property and the cost of any unpaid utilities is left to the sole discretion of the owner.
